Fix the process before you buy the AI tool
Automating a messy process gives you a faster mess. A practical three-step check for business owners in Dubai and the GCC before investing in AI.
Founders often ask me which AI tool they should buy. I answer with a question: what does the process look like today?
If you automate a messy process, you just get a faster mess.
Three things to do before any AI tool
- Draw the process on one page. Every step and every handover, from first contact to payment. If it doesn’t fit on a page, it’s probably two processes.
- Mark where work waits. Waiting is usually where time and money leak: approvals, missing information, handovers between teams.
- Remove one step that only exists because “we’ve always done it.” You will almost always find one.
Only then ask where AI or automation can help.
What to automate first
Look for work with three signs:
- It happens every day.
- It follows the same steps every time.
- Someone on your team dislikes doing it.
Follow-ups, reminders, data entry and simple reports usually win. Start there, not with the most impressive project.
The most expensive AI tool is the one nobody uses
Companies buy licences, run one training session, and three months later nobody logs in. The problem is rarely the tool. Nobody decided which task it replaces, who owns it, and which number shows it’s working.
Before you roll anything out, agree on one task, one owner and one number to measure.
Are you ready for AI?
Answer three questions honestly:
- Is the process written down?
- Is the data in one place, or in ten spreadsheets and someone’s head?
- Is there one person who owns the result?
If any answer is no, start there. AI works best on clear processes and clean data.
How might we make our process so clear that the right tool becomes obvious?
